Does BoardLink replace our community management solution?
No. BoardLink is designed to work alongside solutions like SmartWebs, CiraNet, TownSquare, Vantaca, AppFolio, and others. Your management solution handles operations, violations, dues, and resident portals. BoardLink handles board-only email, documents, meetings, and annual transitions. They complement each other.
Who pays for BoardLink?
Boards pay for BoardLink directly. It's typically budgeted as a line item in the community's operating expenses, similar to insurance, legal fees, or other professional services. Community managers participating in the Partner Program receive recurring revenue share.
Does this create extra work for our staff?
No. BoardLink is designed to reduce work for community managers. We handle setup, training, and ongoing support for board members. You introduce the service, and we take it from there. Board members contact BoardLink support, not your team.
What happens when our boards change members?
This is where BoardLink really shines. We run a guided annual transition process: removing access for outgoing board members, reassigning email identities to new board members, and ensuring all historical records are preserved and accessible to the new board. The entire process is handled by our team.
How long does it take to set up a board?
Initial setup typically takes 3-5 business days. This includes provisioning email identities, creating the board workspace, configuring access controls, and scheduling initial training. Boards can start using BoardLink within a week of signing up.
How secure is BoardLink?
BoardLink encrypts your board's data at every stage and stores it in a secure, compliance-aligned cloud environment with robust access controls and ongoing security oversight. We implement role-based access controls, managed account access for clean transitions, 24/7 business identity monitoring for every board member, and maintain complete audit logs. Our security is designed specifically for the needs of community association governance.
Can BoardLink help reduce our cybersecurity insurance premiums?
Yes. BoardLink's enterprise-grade security features can help reduce HOA cybersecurity insurance policy premiums by demonstrating improved security practices and risk management. Insurance providers recognize that proactive security measures—like centralized access control, managed account access, professional email security, 24/7 identity monitoring, and complete audit trails—reduce risk. By implementing BoardLink, your communities show insurers a commitment to cybersecurity best practices.
What support do you provide to boards?
BoardLink provides direct support to board members via email and phone. We handle password resets, access questions, training, and technical issues. Board members don't need to go through the community manager for BoardLink support - we're their first point of contact.
Can boards customize their BoardLink workspace?
Yes. Boards can organize their document folders, set up custom email aliases for committees, configure meeting templates, and customize notification preferences. The workspace adapts to how each board prefers to work.
What if a board already has email addresses set up?
We can help migrate existing board email to BoardLink, or we can set up new BoardLink addresses and forward mail from the old addresses. The transition can be gradual or immediate, depending on what works best for the board.
